Reporting to the Manager, New Accounts and Documents, the Documents Administrator will be responsible for performing document administration while ensuring a high level of customer service.

The timings for this role are 7:30am – 3:30pm PST.

Responsibilities:
 

  • Perform credit checks and corporate searches;
  • Process incoming documents, which entails reviewing account opening packages to ensure that proper documents are used and completed correctly as per regulatory, anti-money laundering, FATCA and tax requirements;
  • Respond to incoming inquiries with prompt, courteous and accurate information, escalating all issues/inquiries to senior staff members when appropriate;
  • Complete small projects on an ad hoc basis;
  • Prepare document packages for the scanning process;
  • Prepare client copies and welcome packages for mailing;
  • Cross-train on related positions within the team;
  • Provide back-up support to other team members as necessary.

Skills & Qualifications:
 
  • Knowledge of the brokerage industry and previous experience in a back-office environment is an asset;

Responsibilities:
  • Associate Investment Advisor to the Cash Management Group and associates;
  • Initiate leads and cold calls to prospective clients;
  • Deliver in-person presentations to prospective clients;
  • Maintenance of client relationships;
  • Prepare and validate investment order entries;
  • Prepare new client account opening documents;
  • Perform data entry and follow up with clients via phone and email;
  • Provide ad hoc administrative support.
 
Skills & Qualifications:
  • Valid license with IIROC required;
  • An undergraduate degree or higher level of education;
  • 3 to 5 years of work experience as a licensed Investment Advisor;
  • Willing and eager to make cold calls;
  • Experience with rejection in sales;
  • High level of professionalism;
  • Excellent verbal and written communication skills;

Responsibilities:
 

  • Coordinate and execute a targeted digital and social media marketing program aimed at identifying and qualifying potential investors. A range of investment products may include stocks, bonds and insurance related investment products and strategies; 
  • Copy writing experience, content creation for marketing material, e-newsletters and the website;
  • Organize and maintain a CRM database of prospects and clients;
  • Contact prospects to determine interest in receiving literature on selected investment products;
  • Assist with coordinating media interviews and online client seminars led by Investment Advisors;
  • Work on various e-marketing projects as assigned;
  • Prepare e-mail and general mail outs to clients and prospects including tracked email marketing;
  • Other marketing duties as required including site content for improved online performance and conversions (lead acquisition), and paid media campaigns and/or social media campaigns.
 
Skills & Qualifications:
 
  • Completion of a diploma or degree in finance or business field is required; 
  • Knowledge of the Financial Industry and understanding of brokerage accounting is required;
  • Experience within the banking and or brokerage industry would be an asset;
  • Completion of/willingness to complete CSC and licensing with IIROC; 
  • Previous digital marketing experience (social media and websites) is desirable; including a base knowledge of Search Engine Optimization, creating and updating website content, and social media engagement and content creation;
  • Experience in reporting on marketing efforts and identifying opportunities;
  • Excellent written and verbal communication skills; 
  • Strong customer service skills; 
  • Excellent IT & computer skills, knowledge in making basic website updates not essential but would be an asset;
  • Proficient with MS Office (Word, Excel, Outlook, PowerPoint) and Salesforce Marketing Cloud; 
  • Demonstrated interest in marketing, investment products, with previous similar work experience an asset.
